Construction, Design and Layout
To create a uniform display, professional in appearance with unobstructed views
of neighboring booth spaces, exhibitors agree to follow the rules listed
below:
- Signs, logos, etc., are
considered part of a display and must conform to regulations on booth
construction. Hanging signs, logos, etc., are permitted only above island
displays and may not exceed half
the size of your respective booth space (20’x20’ Island = 10’x10’ hanging
size maximum) or be elevated higher than 16' from the floor. Signs may
not be attached to walls or curtains. Please note that sign that
requires rigging from the convention center ceiling must be arranged
through the Phoenix Convention Center and Freeman Services at the
exhibitor’s own expense and approved by the IIAR Show Management. Cost of rigging will be made available
in the 2019 Exhibitor Services Manual.
Rigging Specifications for the Phoenix Convention Center
RIGGING / HANG POINTS: Banners and signs requiring a lifting motor, the in-house exclusive rigging provider will hang chain fall, pulley, or any other
mechanical device. Information will be included in the Exhibitor Service Kit.
- Signs may not obstruct sprinkler heads and must have a clearance of no less than 18inches.
- Signs that may injure, mar, or deface any permanent building
structures may not be attached by any means including nails, hooks, adhesive fasteners,
staples, tacks, or screws.
- Signs may be posted on billboards, easels, or other means of
display.
- All signs must meet fire codes and Fire Marshal guidelines.
- A written request and drawing for heavy production and
theatrical rigging shall be submitted to the Phoenix Convention Center
exclusive rigging provider no less than three (3) months prior to the lease
period. The drawing shall include location of pick-up points, load imposed on
each point and total load of each individual structure to be hung. Drawings for
heavy or theatrical rigging submitted less than thirty (30) days before move-in
may incur additional charges.
- If analysis of the proposed rigging requires the services of a
registered engineer, such expense shall be the sole responsibility of the
Licensee.
- During the period of occupancy, the Licensee of the facility is
ultimately responsible for any damage, injury, etc., that occurs due to the
hanging or attachment of items to the facility itself or to facility owned
equipment by any exhibitor, contractor, subcontractor, representative, agent,
etc.
- At no time, will any item be attached to the ceiling grid,
ceiling tile or to a false ceiling of the Phoenix Convention Center facility
except by equipment specifically designed for this particular application and
only with the prior approval.
- To assure no damage occurs to painted surfaces, all beam
structures or other painted structures are to be covered with a protective
material before wire, cable, etc., may be attached or placed around or over
them.
- At no time, will electrical lighting
conduits, utility pipes, or sprinkler systems be used as supports or as a
source for attachment.
- Whatever is used to hang signage must
be removed with the sign. No wires, ropes, etc., shall be left behind. All
items must be completely removed before the end of the lease period. Removal of
any items left will be billed back at current market rates to the Licensee.
- All rigging and/or hanging requests
must be submitted in writing to the Phoenix Convention Center exclusive rigging
provider. The in-house AV contractor provides exclusive rigging services. Any
special rigging requirements that exceed the load point capacities or
constraints identified on the load maps shall require the special review and approval
of the structural engineer of record at the Licensee’s expense.
- Canopies or ceilings may be
permitted over the back one-half of a 10’x10’ booth area, or in the center
of an Island Booth, but the exhibit design must be submitted to IIAR Show
Management for approval no later than January 18th, 2019; no booth display shall extend outside
the boundaries of the assigned exhibit space. Division rails must
remain perpendicular to the back of the wall.
- The reverse side of wing
panels, and unfinished or exposed portions of displays (i.e., wiring,
wood, etc.) must be covered or otherwise decorated.
- Single 10’x10’ Booth Displays: Equipment, models, displays and materials must not be more than four (4) feet
high, six (6) feet long and two (2) feet wide. Equipment, models, displays,
fixtures and materials more than four (4) feet high (including table
height), must be confined to the rear of a booth. A variance (See rule
#19) must be requested for any displays/fixtures/materials that exceed size limits and are over four (4) feet in height, which cannot
be confined to the rear of the booth. Items determined to be in
violation may be removed at the exhibiting company’s expense.
- Multiple 10’x10’ Booth Inline Displays: Equipment, models, displays, fixtures, and materials
more than four (4) feet high (including table height), must be confined to
the rear of the multiple booth display. A variance must be requested for
any displays/fixtures/materials over four (4) feet in height which cannot
be confined to the rear of the booth. (See rule #19). Items determined to
be in violation may be removed at the exhibiting company’s expense.
- Island booth displays
may not exceed 16' in height. Overhead panels or open
"bridge-type" construction may be permitted to a maximum height
of eight (8) feet along the aisles to facilitate the construction of open
exhibits. Supporting posts of up to twelve (12) inches wide may extend
above the side-rail limitations set forth in rule 4. Solid wall
construction above three (3) feet will be permitted provided that it is
alternated with an open space every four (4) feet along the four (4) sides
of island space. Plans for such displays must be submitted to IIAR
Convention Show Management for approval no later than January 19th, 2019.
Items determined to be in violation may be removed at exhibiting companies
expense.
- The outside booth side-rail of
corner booths and side-rails within multiple booths may be removed;
however, all booth materials must remain in the booth and conform to all
size and space restrictions prescribed by the rules. Booth side-rails must
remain in place for all in-line booths; however, corner booths may remove
the side-rail that runs along the aisle. No booth display shall
extend outside the boundaries of the assigned exhibit space.
- All exhibitors are required to
carpet their booths if carpeting has not been designated as provided per
Item 4: Furnishings and Services
Note: The intent of these exhibit construction regulations
is to provide each exhibitor reasonable sight lines from the aisle, to create a
uniform and professional looking display, and to permit all exhibitors maximum
use of floor space for which they have contracted. Requests for
exceptions to rule 7 (showing good cause) must be applied for in advance and
approved by IIAR Show Management, and may be assessed an additional fee.
Variances will be considered on or before January 18th, 2019 if submitted
in writing. Please submit your request in writing and with accompanying
diagram to IIAR Variance
Request on
or before January 18th, 2019. Requests for variances cannot be accepted after
January 18th, 2019. No Exceptions.
Types of Equipment: The 2019 IIAR Natural Refrigeration Conference
& Expo is not considered a heavy equipment show, however, this show does
take place at a convention center and small Island displays are allowed. There
are larger limits to the load this space may bear. You may bring equipment to
this show at your own expense. Acceptable equipment must not exceed allowable
dimensions and ceiling height and must fit within the booth space as described
above. Examples: Compressors, compressor packages, pumps, valves, motors, heat
exchangers, etc. The exhibitor services manual, which will be provided 3 months
prior to the event, will contain an Equipment Advisory Form, which must be
completed and returned to Freeman Services for any equipment exceeding the
limits. Any equipment requiring the use of other equipment to move in/out of
the center requires all arrangements made with Freeman Services in advance. The next IIAR Heavy Equipment Expo will be in
2020 and then again in 2023 on a 3-year cycle.
