We are delighted to welcome you as a partner for IIAR 2021 Online Conference & Virtual Expo. In this document, please find confirmation of your virtual exhibit benefits as well as important information and deadlines to create a successful and dynamic virtual experience.

VIRTUAL BOOTH OPPORTUNITIES
Think beyond traditional signage, sponsorships, and static trade show booths. IIAR 2021 Online Conference & Virtual Expo offers real-time data, exposure, and engagement between attendees and your brand.
Brand your booth with the following:

Customize your booth by including the following that attendees can view at any time leading up to or during the conference. Promote attendee interaction beyond our Exhibit Hall hours!

  • Downloadable collateral and files
  • Embedded videos
  • Polling/survey questions
  • Option to tag or self-identify with organizational search terms and keywords

While in your virtual booth, you also have the opportunity to interact and connect with attendees in real time:

  • One-on-One video chat with booth staff
  • Scheduling tool for attendees to request information and schedule meetings outside of Exhibit Hall hours

Your virtual booth also provides soft lead retrieval to track visitors on your page.

  • Gain insight into not only who has visited your booth, but how many times. View anyone that has visited your booth, and message them via the platform during the event.
  • Attendees can also opt to submit their full contact information to you directly!

SETTING UP YOUR VIRTUAL BOOTH
Please register your booth staff and send IIAR the names of your staff members by May 19. Registration information below. Click here to register your booth staff!

Please send your company logo and company description to IIAR ASAP. Click here to upload your company logo and description. The sooner we receive your logo, the sooner your company will be highlighted in promotional conference material. If not received by May 19, you will have the ability to upload these on your own.

Upon the soft launch of our virtual event platform on May 24, your booth staff will receive a login email directly from Pathable to gain access to your booth. If you do not receive your login email, please let us know.

There are two ways to access your booth for editing. Navigate to the Exhibitors List and select your company. Then click the “Manage” button on right. Additionally, you can select “Go to Organization Settings” from the drop down menu when hovering over your name in the very top right. You will see your company name and logo (if submitted) on your page. From here, you can customize your booth with all of the features, included in your package, described above.

Please plan to finalize your booth set up by Friday, June 18. However, attendees will gain access to the platform on June 14 and IIAR recommends you have your booth in a mostly completed place by then to maximize your exposure.

Platform Specifications

  • Logo – 200x200px minimum, JPG or PNG file types only
  • Header Banner – 1170x145px minimum, JPG or PNG file types only
  • Company description – A minimum of 50 words suggested
  • Videos – Can be uploaded directly (with a 10.0 GB file size limit) or videos can be linked from any major online video platform (Vimeo, YouTube, etc.)
  • Files – PDFs, white papers, sample user guides, etc. may be uploaded up to 10.0 GB in size
  • Polls/Surveys – Questions can be multiple choice, free text entry, or rated.
  • Please make sure to download Zoom on the device that you will be using prior to the event dates. You can confirm you have downloaded the latest version of Zoom at https://zoom.us/download.

May 24 - Soft launch date for exhibitors and sponsors
June 14 - Official launch date for all attendees (IIAR recommends your booth be completed by this date to maximize organizational exposure)
June 18 - Booth set-up deadline
June 21 - 24 - Virtual Experience event dates

In order to register for IIAR 2021 Online Conference & Virtual Expo and gain access to set up your booth, please register here. Your booth staff members will need to register prior to building your virtual booth.

  • To make the most of your partnership, IIAR strongly recommends that you staff your virtual booth during all open booth hours listed.
  • IIAR recommends a minimum of 2 registrants to staff your virtual booth.
  • Please note: Times are subject to change. All changes will be sent to you in writing.

Monday, June 21

  • 12:30pm – 1:30pm - Dedicated Exhibitor Hours, be prepared to staff your virtual booth.
  • 2:30pm – 3:30pm - Dedicated Exhibitor Hours, be prepared to staff your virtual booth.

Tuesday, June 22

  • 11:30am – 12:30pm - Dedicated Exhibitor Hours, be prepared to staff your virtual booth.
  • 1:30pm – 3:00pm - Dedicated Exhibitor Hours, be prepared to staff your virtual booth.

Wednesday, June 23

  • 11:30am – 12:00pm - Dedicated Exhibitor Hours, be prepared to staff your virtual booth.
  • 1:30pm – 2:00pm - Dedicated Exhibitor Hours, be prepared to staff your virtual booth.
  • 3:00pm – 3:30pm - Dedicated Exhibitor Hours, be prepared to staff your virtual booth.

DEADLINES

May 19 - Send logo, description, and booth staff to IIAR
May 24 - Virtual Event platform soft launch
June 14 - Official launch date for all attendees (IIAR recommends your booth be completed by this date to maximize organizational exposure)
